Data Protection Act
The Equality and Rights Network (EaRN) operates through Volunteer Centre Edinburgh who are registered with the Information Commissioner’s Office and comply with the requirements of the Data Protection Act. This involves keeping your personal information securely and allowing you access to what we hold on you on request. Our entry on the Information Commissioner’s Office register can be found by using their search function and registration number Z4669541.
The privacy notice on the Volunteer Edinburgh website applies to all activities of EaRN.
We use a third party service called Mailchimp to send our e-bulletins and manage our subscriber lists. They are one of the biggest emailing services in the world and have extremely stong security policies so we have done the best we possibly can to secure your data.
Any information you give to us for our e-bulletins including the public EaRN News & Updates bulletin will only ever be used for the purposes of contacting you with information from the project. We use a double opt-in system so that after signing up you must click a “subscription confirmation” link in an email. Every e-bulletin has a link in it for you to unsubscribe/manage your subscriptions. The only mandatory piece of information we require is your email address, you do not have to provide your name or any other details.
We will never pass your information on to any third parties.
Any information you provide to us when using the private Members’ Space will only ever be used for the administration of the project and the information will be stored securely.
Forum terms and conditions
By using this forum you agree to abide by the discussion rules.
- Do not submit comments that contain personal information e.g. home addresses or phone numbers.
- Do not submit comments that are unlawful, harassing, abusive, threatening, harmful, obscene, profane, sexually orientated or racially offensive.
- Do not swear or use language that could offend other forum participants.
- Do not advertise or promote products or services.
- Do not spam or flood the forum. Only submit a comment once.
- Do not resubmit the same, or similar, comments.
- Keep your comments relevant to the discussion topic.
Contributing to the private areas of the forum requires registration. Registration to the forum is made by EaRN staff upon joining the Equality and Rights Network (EaRN) as a network member or as a volunteer Equalities Ambassador. Certain information is necessary for registration such as a name and a valid email address. The personal details used for registration will not be disclosed to third parties other than in exceptional circumstances (eg: the prevention of a serious crime).
Comments will be moderated by EaRN staff and assigned volunteer Equalities Ambassadors. Comments will be moderated at least every working week. If a comment contravenes any of the full discussion rules it will be removed from the forum and the user may be banned from future forum use.

Freedom of Information
The information you provide will be subject to the Freedom of Information Act 2000 which allow public access to information held by us. This does not necessarily mean that information about you in addition to what is published on the forum will be made available to the public as there are exemptions relating to information provided in confidence and information which is protected by the Data Protection Act 1998 applies. However, you should be aware that this may occur.
